FleetCollect Introduces IFTA Audit-Readiness Tool for Owner-Operators

FleetCollect, a trucking-compliance software platform serving owner-operators and small fleets across all 50 states, has introduced an IFTA audit-readiness resource that outlines exactly what state fuel-tax auditors require and pairs it with an app that automatically captures those records. The announcement, made on August 14, 2026, addresses a critical pain point for independent truckers who may be selected for random audits under the International Fuel Tax Agreement (IFTA).

Under IFTA, every jurisdiction is required to audit approximately 3% of its licensed accounts each year, and many accounts are chosen at random. This means an operator does not have to do anything wrong to be selected. Carriers must retain their distance and fuel records for four years, which is also how far back an audit can reach. For drivers relying on paper logs and a shoebox of fuel receipts, reconstructing a year of travel on demand is the hardest part. The question is rarely whether the miles were driven, but whether the operator can prove where.

FleetCollect's iPhone app logs state-by-state mileage and fuel purchases in the background and exports them as XLS, XLSX, and CSV files—the spreadsheet formats auditors accept. The app records a continuous GPS breadcrumb for every trip and assigns each mile to the correct jurisdiction using high-resolution state-line detection. Distances are computed from the GPS track, giving drivers a defensible, timestamped record of dates, coordinates, route of travel, total distance, distance by jurisdiction, and vehicle unit number—the core elements an auditor requests for GPS-based records.

Fuel logging is streamlined as well. Drivers can add a fuel stop in seconds, capturing the date, station, gallons, price, and the state that earns the tax credit. A photo of the receipt is stored alongside the entry, so the seller's full address and fuel type ride along on the ticket itself.

The exports meet auditor requirements. From any quarter or date range, FleetCollect produces a CSV summary, a multi-sheet XLSX workbook—including jurisdiction totals, a trip log with state crossings and highways traveled, a per-vehicle breakdown, and the raw GPS points behind every mile—and a PDF summary. The same records that prepare an operator's quarterly IFTA return are the ones handed to an auditor.
